All articles written by our editorial team need to be logged in Hubspot. As such, any non-client articles will need to have a task added to Hubspot first, before they can be logged.
ADMIN
NAMING CONVENTIONS:
- BONUS Feature Article: Name of article or topic or article
- LEAD: Name of article or topic or article (to be used if it's not being written yet)
- NEWS: Name of article or topic or article (to be used if it's being written and has been put into Notion and assigned out)
- UPDATE: Name of article or guide to be updated
CHOOSING THE CORRECT QUEUE
- AAA - Client article awaiting approval
- Feature story - all client articles (paid package inclusions and non-paid bonus articles)
- Guide
- News article - all non-client articles
CHOOSING THE CORRECT PROCESS
If a writer wants to flag a potential article for publication, it first must be determined if that article is for an existing client, or a non client.
CLIENT
1. Check if the client has any feature articles remaining in their package (via the client ticket/tasks).
2. If they do, call the client and ask if they'd like to use their remaining benefits for an article on this particular topic. If the client says yes, follow regular client processes. If the client says no, determine if the article will generate traffic for Glam Adelaide, in which case we may write the article as a BONUS. If we decide to write a bonus article, a new task will need to be created.
3. Go to the client's ticket, go to tasks, add a new task. Use the BONUS naming convention.
- The Activity Date is the publish date. If it's planned for the weekend for instance, select the date chosen as the wake up date.
- As a bonus article is a client article, the Feature Story queue needs to be selected
- In the bottom right corner of the task box, find the 3 associated records - the ticket, the company and the contact, and link them all.
- Once the article is completed, add the article link into the description, and tick the task box on the day it's finished. This may be a different date to its publish date - but will then allow this article to show up in your list of completed articles for the day.
- Add the article link to the client's Campaign assets, and when you schedule the social media posts, be sure to also link them to the client's campaign.
NON CLIENT
Every non-client article needs a task created for the story, which will be filed under the writer who has been assigned to write it. Each writer has their own News Article ticket. For instance, Fiona News Articles.
1. Go to your News Article ticket.
2. Go to Tasks/Create Task
3. If the article is just a possibility at this stage, use the LEAD naming convention. If you are planning on writing the article, and have penciled it into Notion, use the NEWS naming convention for the task.
4. Select the News Article queue
5. Choose the due date for the article, in line with the chosen publish date
6. Click on the 'Associated with 1 record' link in the bottom right side of the task box, and search for the associated company and contact. If the company and contact do not exist in Hubspot, you may need to create them, and then go back to this step to link them. This is important - please do not skip this step.
7. Once the article is completed, add the article link into the description, and tick the task box on the day it's finished. This may be a different date to its publish date - but will then allow this article to show up in your list of completed articles for the day.
