Add Client as Glam Calendar User & Send Calendar Login Email
Client packages that include a quantity of Calendar Listings

Log into the WordPress dashboard.

In the left-hand menu, go to Users.

First, check if a user already exists for this client:

Use the search bar to look up:

The business name
-
The primary contact's name
-
Any email addresses using the company’s domain

If a matching user is found:

Confirm the contact details are still current

If not, deactivate the old user before continuing
- If yes, then you're done. The client already has login details.

Fill out the new user details:

Username: Enter the full business name

⚠️ This cannot be changed later, so double-check spelling and format
- ⚠️ Wordpress is very strict on not using special characters, be careful you don't include apostrophes, dashes, ampersands, etc.

Email: Use the primary contact’s email address

This is where password resets and login info will be sent

First and Last Name: Enter the primary contact’s first and last name

Password: copy the auto-generated password for later

Send User Notification: Untick this box. We’ll send the onboarding email manually through HubSpot later.

Role: Select "Event Contributor" from the dropdown

⚠️ Important: Leave this screen open for now -- don’t click Add New User yet.

In a new tab, log into HubSpot and locate the Calendar Onboarding Email template.
- Find any titled: Event Calendar Login Details - Company Name
- Clone the email, rename it with the new business in the title.
- ⚠️ Important: Make sure you don't clone one that says CUSTOM in the title. These are not using the standard template.
- Update the email body text with the new user’s details:

Business name (as username, written exactly how it is in WordPress)

Contact’s full name

Temporary password (copied from WordPress)

- Go to the lefthand side bar, click the paper airplane symbol called 'Send To'.
- How will you send this email: To a segment of contacts
- Subscription Type: Member Communications
- Send To: Select the primary contact only.
- Turn off the switch for Don't send to unengaged contacts.

Once the email is ready to send, return to WordPress and finally click Add New User.
- ⚠️ Important: If for whatever reason an error occurs, the Temporary Password will have regenerated. You MUST update the password provided in the HubSpot email BEFORE fixing the error in WordPress and clicking Add New User again.
- Now that we have confirmed the User has been correctly created, go back to HubSpot and click "Review and send", then click "Send"
- A pop-up will appear asking you to confirm. click 'Send email now'.
